A Legal Secretary

FRANCISTOWN: Francinah Seitiiso is a legal secretary at Nfila Attorneys in Francistown. Seitiiso is from Chadibe and has been a legal secretary since 2001 after completing her studies.


Legal secretaries provide administrative support to lawyers and legal executives and help with the day-to-day tasks in running a legal firm. She says that in order to enrol for a course in secretarial studies, one needs to be good in English, Setswana and a fair understanding of mathematics. Seitiiso studied for a certificate in secretarial studies at the Jwaneng technical college for one year. She explains that the course included modules like word processing, database, bookkeeping and accounting. They also studied various accounting software programmes like Accpec and Lotus. Seitiiso says that she enjoys her job, which involves maintaining the lawyer's diary, consulting with clients and typing various court documents. "I also make sure that there is correspondence between my office, the High Court and the magistrate," she said. Even though she works from Monday to Friday, Seitiiso says that there are times when she works on weekends especially when there is an urgent application to be made. She adds that she always has to make follow-ups on clients so that they provide information that might be needed to complete the case. She however says that she never goes to either the magistrate's court or the High Court unless there is a file that needs to be dropped there or an important document that her boss needs. She said that being a legal secretary is interesting as she learns many interesting things while handling various cases. "I like my job as it has taught me many things and how to tackle different issues. I know the law and am well aware of my rights because I get to read a lot especially when my boss needs some kind of information", said Seitiiso. She further adds that she has seen it all and learns a lot from other people's cases. She says that being a legal secretary requires a person who is friendly, knows how to communicate and is able to grasp and understand a lot of things. "You have to be hard working if you are interested in a career in this field and you have to be very organised because you will be dealing with many files and documents," she said. Seitiiso adds that a legal secretary is the right hand of the lawyer and together they can complete a case. A legal secretary needs to be interested in the law, be computer literate and pay attention to detail because accuracy is very important. They also need to be discreet as you will be dealing with a lot of confidential information. They need to be able to work to deadlines and have the work at their own initiative when necessary. Interested people can get the training they need from the various technical colleges in the country and the Botswana Institute of Administration and Commerce in Gaborone. These institutions offer training at certificate level with a duration level of one to three years for a diploma. Seitiiso says that the salary of a legal secretary is enough for one to lead a comfortable life and that there are other career prospects that a legal secretary could choose to get into. While Seitiiso works as the only legal secretary in her office with only one lawyer, in some law firms there could be more than one secretary catering for the needs of many other attorneys in the whole corporation. According to Learndirect.com a legal secretary needs to be on her toes because every minute you waste costs money as lawyers live or die by their annual billable hours to clients. The site further states that, "Although as a legal secretary your hours aren't generally included in their billing, the office may turn into a pressure cooker during busy times as lawyers stack up the hours to justify taking a vacation".
